Certifications Tracking Module

How to track your staff certifications and get notified before they expire

In DigiQuatics, you and your staff will always be in the know when certifications are expiring. You will get automatic email alerts in advance so you can be sure your staff isn't going to lapse on their certifications. Here's how to get started.

Set up your Certification Types

Under your Settings you will find the Certifications section. Here you will add the "type" of certifications you would like to track. For example, you may create types such as Lifeguard, CPR/AED, Oxygen (O2), Lifeguard Instructor, CPO, AFO, Bloodborne Pathogens (BBP), etc. You may add as many Certification Types as you would like.

Add Staff Certifications

There are three ways to add certifications to DigiQuatics:

  1. From the Certifications page, you can add one at a time

  2. From the Certifications page, you can import in bulk from a spreadsheet (and periodically update/overwrite using this method)

  3. From an employee profile, you can add/edit their certifications directly


Automatic Integration with Scheduling

You will be alerted with a warning when scheduling any employee who has a certification expiring within 30 days. You can also opt to include or exclude employees with expired certifications when using the Auto-Schedule feature.

When an employee is within 30 days and their certification has not been updated in DigiQuatics, you'll notice the following warning in either shift view or employee view - and can quickly navigate to their profile for detail:

Highlights and Tips

  1. As an admin you'll receive an optional 1st of the month email summary showing who is expiring 30, 60, and 90 days out - and anyone whose certs have already expired

  2. If you add more modules, like Scheduling, you'll see schedule warnings for anyone within the 30-day expiry period

  3. All certs also show up on each employee profile; it's not required but you can add attachments of the certifications too

  4. You can customize the validity duration and import/edit certs in bulk too make adding/updating certs a breeze

  5. You can correlate your certifications with our In-Services Tracking Module if you recertify staff yourself

  6. Many of our customers love to use the Certifications Tracking module to create their own automated reminders for equipment/asset inspections as well! This is a great workaround for "recertifying" or inspecting actual physical assets (instead of employee certifications) by creating automated reminders (SMS, email, and push notification alerts). Most of the time this entails utilization of our Feature Inspections Module or Custom Forms Module as well.
