Custom Forms: Set Access for Your Staff

All the forms you create will default to "Submit" access for your staff (which means they'll only see their submissions).

So, you're an Admin in DigiQuatics and you'd like to change the access level you have for one, several, or all of the forms in your account? You can do this for yourself or other staff by using our Custom Form Access Editor.

In this scenario here's what you'll need to do:

  1. Head to your settings page in DigiQuatics.

  2. Scroll down to the Custom Forms menu, open it, and click on EDIT FORMS ACCESS at the top.

  3. On the Custom Form Access Editor page, scroll down in the table and find your row. (Don't forget to use any of the filters at the top to make things even easier and narrow what and who is displayed!).

  4. Finally, change your row from "Submit" to "Modify" (you can do this quickly by using your right arrow key to navigate across while tapping "M"). This will give you full access to see your and others' submissions, and edit any of them too if needed.

If you have not set access before using this editor, you'll find that any admin employees in your account have been automatically granted the "Modify" privilege, while any non-admin employees will have "Submit" access only.

Custom Forms Access Highlights

The access levels, which work strictly at the level of each employee, were designed to add an extra layer of privacy/security to the (often sensitive) data collected on forms. Any form you create will always default to "Submit" access for your staff (which means they'll only see their submissions). Even Admin will need to set their own access levels. To review, here are the options:

No Access ("None")

This means the employee will not see the form in the "ADD" box on the Completed Forms page, nor will they see records for completed forms or be able to access their URLs.

Submit Access
This is the most common access level, and is the standard access that any new employee added (with the Custom Forms module access set to "Yes" on their profile) will receive when a new form is created.


Modify Access

This access level is essentially full access, and would be typical for most admin. However, it still needs to be set per each Admin employee.

What about New Forms and New Employees?

For any new employee you add to your DigiQuatics account, remember to provide them with Custom Forms module access via their profile by selecting "Yes" for Completed Forms (screenshot below). They will then receive "Submit" access by default for all existing forms, and when new forms are created.
